Sync Benefits with SuccessFactors — Employee Central, Any Payroll, Any Other HRIS

Benefits Reimagined runs on SAP BTP and AWS next to your SuccessFactors tenant. HR events change the benefits record as they happen; deductions go to SAP ECP or any 3rd-party payroll — ADP · Workday · UKG · Dayforce · Paycom · SAP ECP; the entities on other HRIS platforms join through the same control plane; and the employee logs in once.

Every benefits vendor says it integrates with SuccessFactors. Most mean a scheduled export, a middleware layer somebody owns, and a portal with its own password. Benefits Reimagined keeps 140+ pieces of employee information in step with Employee Central through SAP’s own connections and events, posts deductions to whichever payroll each entity runs, maps the rest with IntelliMap — the live estimate is 80% of fields mapped automatically — and is listed on SAP Store.

“Integrated” Usually Means a File

“The integration is a nightly file to the benefits vendor, a middleware job an integrator built three years ago, a separate connection for each payroll, and a login employees forget every November.” For an SAP customer that is not integration — it is four more systems to own, and a day’s lag between the HR record and the benefits record.

Architecture

Middleware someone has to own

An integration flow or a third-party tool between SuccessFactors and the benefits vendor: licensed, monitored, patched, and the first suspect when anything is late.

Payroll

One connection per payroll

The headquarters on SAP ECP, the plant on ADP, the acquisition on Workday payroll — three deduction files, three formats, three places a catch-up can go wrong.

Identity

A second portal, a second password

Employees leave SuccessFactors to enroll; IT maintains another user store; permissions drift between the two.

140+ pieces of employee information kept in step with SuccessFactors Employee Central — hires, terminations, jobs, pay, leave, dependents, addresses
6 payrolls on the same deduction lane — ADP · Workday · UKG · Dayforce · Paycom · SAP ECP — with results returned for reconciliation and the ACA
80% of fields mapped automatically by IntelliMap for a new HRIS or vendor — the live estimate; a person approves every mapping
1 login — through SuccessFactors or any identity provider — for employees, administrators and the mobile app

One Control Plane, Four Lanes

Follow the data from an HR event to a carrier file and back to payroll — on SuccessFactors as it happens, on any payroll, and on any other HRIS through the same control plane.

1

Employee Central in, as it happens

Hires, terminations, job and pay changes, leaves, dependents and addresses arrive from Employee Central through SAP’s own connections and event framework — not a nightly extract — with Intelligent Services Center automation where you use it. Each event is matched, validated and applied to the benefits record; anything that fails validation is held with a reason, never loaded silently.

Deductions to SAP ECP — or any 3rd-party payroll — and results back

Elections become deductions by wage type on the next payroll, and each entity’s payroll gets its own lane on the same rules: SAP ECP for the headquarters, ADP for the plant, Workday, UKG, Dayforce or Paycom for the acquisition. Payroll results — hours, wages, what was actually taken — come back to reconcile against the election and to feed the ACA engine. Retroactive corrections from BR ReVerge, 360-degree Payroll, post the same way to every one of them. Employer and employee shares are never blended.

One login, permissions that follow the person

Employees open benefits from SuccessFactors — or any identity provider — with one login on web and mobile. Security & Access Control decides which screens a group can see and whose records it can see, separately, with approval-required groups routed through Workflow and a permanent history of every change and every allow or block decision. Configuration moves between tenants through transports and upgrades land through the upgrade center.

Any other HRIS on the same plane; carriers on 834

An acquired entity on Workday, a division on UKG, or an entity on Dayforce or Paycom joins the same control plane: IntelliMap proposes the field mapping, a person approves it, the sync fills the same canonical record, and one rulebook serves every entity. Carrier eligibility goes out on 834 files per lane with acknowledgements stored; eligibility responses feed the four-way billing match. What used to take months of integration work takes weeks.

A File to the Vendor vs. Benefits Beside SuccessFactors

Six moments in the data flow, and what changes when the benefits record lives next to the HR record.

Moment The way it usually goes Benefits Reimagined
An HR event Reaches the benefits vendor at 2 a.m. tomorrow. Applied as it happens, with a hold and a reason if anything fails validation.
A deduction One file format per payroll, built by an integrator. One lane per payroll — SAP ECP, ADP, Workday, UKG, Dayforce, Paycom — on the same rules, results returned.
A retro correction Keyed by hand in each payroll. ReVerge posts it to every payroll the entity runs, approved once in Workflow.
An employee signs in A second portal, a second password. One login through SuccessFactors or any identity provider, web and mobile.
An acquisition on another HRIS A new integration project. IntelliMap maps it — 80% automatically, the live estimate — onto the same record and rulebook.
A carrier file Sent; hoped for. One 834 per lane, acknowledgement stored, eligibility response matched to the invoice.

What Changes When Benefits Runs Beside SuccessFactors

From a nightly file

Events as they happen

The HR record and the benefits record change together; the carrier and payroll follow in the same cycle.

From middleware you own

Connections you already have

No integration flow or third-party tool to license and watch; SAP BTP and AWS are the runtime, SuccessFactors is the source.

From one connection per payroll

One deduction lane, every payroll

SAP ECP or any 3rd-party payroll — ADP · Workday · UKG · Dayforce · Paycom · SAP ECP — on the same rules, with results returned.

From a second portal

One login

Employees never leave; access follows the person; IT maintains one user store.

From an integrator for every entity

One control plane for every source

Workday, UKG, ADP, Dayforce, Paycom or any HRIS joins on the same record, mapped by IntelliMap.

From silent failures

Holds with reasons

A record that fails validation is held, explained and fixed at source — never loaded wrong.

Athena for the integration desk

Ask Where a Record Is and Why It Stopped

The sync workspace has Athena for Admins. It reads every lane’s events, matches, holds and acknowledgements, explains why a record was held or a file rejected, and drafts the fix — in the source system when that is where it belongs. It never sends a file or claims to have re-run a lane.

  • “Why hasn’t this termination reached the carrier?” — the event, the match, the coverage end rule and the next 834 cut — with an off-cycle send offered
  • “Did the plant’s deductions post to ADP?” — the lane, the run, the results returned and any line that did not match
  • “What is held from UKG and why?” — the 14 records, the missing cost center, and the owner in the source system
  • “Show me the acknowledgements for this carrier this month.” — every 834 sent, its acknowledgement and any rejected line

A manager says an employee terminated Monday is still showing covered at the carrier. Where is it?
Athena · from the sync logThe Employee Central termination event arrived Monday 09:02 and was applied at 09:02 — coverage end set to 09/30 under the end-of-month rule, and the deduction stop is on the plant’s ADP lane for the 09/30 run. The carrier is correct to show coverage through 09/30. The termination record is on the 834 cut scheduled for Thursday; the carrier will reflect it after acknowledgement. Nothing is held or failed.

AthenaAn off-cycle 834 containing the single termination record is prepared for the carrier lane and is with the integration lead for approval; the acknowledgement will attach to the same record. I don’t send carrier files myself.
