For HR & Benefits Leaders: Run Benefits Without the Spreadsheets

You are accountable for enrollment, events, evidence, communications, tickets, cases and compliance — and for being sure. Benefits Reimagined puts all of it on one employee record inside the HRIS you already run, with AI that explains what it did.

The benefits leader’s job has become an integration job: exports to the enrollment vendor, a spreadsheet for rates, a mailbox for evidence, a ticket queue for questions, and a separate compliance tool that never quite agrees with any of them. Benefits Reimagined is built so those are one system — native on SAP BTP and AWS beside SuccessFactors, ready for any other HRIS — and so the answer to ‘are we sure?’ is a record you can open, not a reconciliation you have to run.

What You’re Accountable For, and What It Costs You Today

“I own enrollment, events, evidence, communications, the help desk and compliance — in five tools and a spreadsheet — and when the CFO asks whether the carrier bill is right or the CHRO asks whether we are ACA-safe, the honest answer is ‘we think so.’” That is the job as most benefits leaders describe it. None of it is a benefits decision.

Enrollment

Two weeks of exports and fixes

The plan year built in a spreadsheet, the window run in a vendor portal, the errors found on the January bill.

Evidence and tickets

A mailbox and a queue

Dependent documents by email, the same twenty questions as tickets, and a generalist looking things up all day.

Compliance

‘We think so’

ACA measured at year end from an extract; orders handled as mail; evidence in an inbox when the letter arrives.

1employee record that enrollment, events, evidence, communications, tickets, cases and compliance all read — inside the HRIS login
23miscellaneous benefit programs in six groups — education and career, family building, caregiving, work and mobility, wellness and lifestyle, voluntary — on the same enrollment
4places the AI works — for employees, for HR and service teams, for configuration, for carrier files — and every one of them proposes while a person decides
12governed ACA months per employee, each with the rule that set it — measured, not reconstructed

Four Things That Change About the Job

Not a feature list — the four parts of a benefits leader’s year that stop being reconciliations, each linking to the module that does the work.

1

Enrollment and life events run on the record, not on exports

Plan year, rates, eligibility and enrollment behaviour are effective-dated configuration you own — proposed from your plan documents by AI-Powered Configuration and approved by your team. Employees enroll inside the HRIS login with the IntelliSuggest wizard narrowing the choice and every election validated before submit. Life events derive their own coverage dates and collect evidence in the event. Retirement plans, the Flexible Spending Framework and 23 miscellaneous programs run on the same rules. The carrier file is built from what you audited.

2

Evidence is verified once and reused everywhere

Dependent documents, marriage and birth certificates, court orders and evidence of insurability are requested in the event or the ticket, checked by IntelliVerify, decided by an administrator and filed to the employee’s Document Center. The verified dependent is the one the carrier file, the ACA and a medical support order all use.

3

Communications go by audience; questions get answered where they are asked

Communication Hub sends the launch, the reminder and the change notice to the population it concerns, over email, SMS or in-app, with a status on every message. Athena answers each employee from their own record in their language with the policy cited; BR Resolve takes what needs a person as a ticket with the context attached, and what needs a decision as a case; the questions that repeat become job aids instead of tickets.

4

Compliance is a month-end fact you can open

The ACA is measured every month from the hours payroll posted and the offers enrollment holds, with the rule behind every code, and filed once from a frozen run. Medical support orders are intaken and enrolled on the statutory clocks. The Compliance Framework checks everything else on a calendar and appends the evidence. Essential Insights shows readiness, exposure and orders by entity — and Athena for Admins explains any of it. COBRA administration joins on the roadmap.

Five Tools and a Spreadsheet vs. One Record

Six moments in a benefits leader’s year, and what changes when they all read the same employee record.

What Changes for the Benefits Leader

From five tools and a spreadsheet

One record inside the HRIS

Enrollment, events, evidence, communications, tickets, cases and compliance read the same employee record.

From ‘we think so’

‘here is the record’

Every outcome carries the rule and the version that produced it; Athena explains it in plain language.

From a mailbox for evidence

Verification in the event

Uploaded once, checked by IntelliVerify, decided by a person, reused by every module.

From a generalist looking things up

Athena answering from the record

The lookups never become tickets; the tickets that remain need a person; the cases need a decision.

From year-end compliance

Month-end compliance

ACA measured every month; orders on the clock; the framework on a calendar; exposure visible before the deadline.

From a vendor for every entity

Athena for the benefits leader

Ask the Question You Would Ask Your Team

Athena for Admins answers help-first in every workspace. Ask it what a benefits leader asks a team lead — where we are, what is at risk, why an outcome happened — and, with ‘Include employee data’, get the answer from the record with the rule behind it. It drafts; you decide.

  • “Where are we on OE by population?” — completion, not-started and exceptions by site, with the reminder drafted
  • “What is at risk this month?” — ACA safe-harbor failures, orders near their clock, tickets and cases near SLA — with the fix for each
  • “Why did this employee’s deduction change?” — the event, the tier, the ReVerge periods and the explanation the employee saw
  • “What are employees asking that we can’t answer?” — the gap list from Chatbot Analytics, with a draft job aid for each

Give me the three things I should worry about this week. Include employee data.
Athena · read-only lookupOne: Plant 2 opened 41 tickets about the HDHP deductible reset — same cause; a job aid and a targeted message are drafted. Two: three Plant 2 hourly employees fail the ACA rate-of-pay safe harbor for August after the pay-grade change; the safe-harbor switch to FPL clears them and is drafted for approval. Three: two NMSNs have Part A due in 6 business days and are waiting for the children to be added to the dependent records. Everything else — OE close, carrier file, dependent verifications — is on track.
