For Finance & Payroll: Reconciled Bills, Clean Deductions, GL-Ready

You approve the largest recurring invoice HR generates and you own every deduction on the paycheck — on SAP ECP or on ADP, Workday, UKG, Dayforce or Paycom. Benefits Reimagined makes both trace to the same election — so the invoice is matched before it is paid, the deduction is right the first time on every payroll, and the posting explains its own variance.

Finance inherits benefits in two places: the carrier bill and the payroll deduction, and the two rarely agree with each other or with enrollment. Benefits Reimagined holds the election that causes both. Each invoice line is matched four ways before approval in Workflow; deductions post to each entity’s payroll — SAP ECP or any 3rd-party payroll — and the results come back; retroactive corrections are computed per period by BR ReVerge, 360-degree Payroll, and explained to the employee; premiums for people not on payroll are billed by reason with grace by rule; and the approved amount posts by cost center and entity.

Two Numbers That Never Agree

“The carrier bill says one thing, payroll says another, and enrollment says a third. We approve the bill because it is due, run the deduction because it is in the file, and find out in the audit what any of it should have been.” Finance does not own the cause of the variance — it owns the consequence.

Carrier bills

Approved by total

A 40-page invoice checked against last month’s total; the people who left in March paid for until December.

Deductions

Wrong, then corrected by hand

A tier change missed, a catch-up keyed in one payroll and forgotten in another, an employee who cannot be told why — and shares blended along the way.

The close

A number that doesn’t tie

Benefits expense posted from the invoice, deductions from payroll, and a variance nobody can explain to the auditor.

4sides to every invoice line — invoice, election, deduction, carrier eligibility — matched under a $0.01 default tolerance
6payrolls on the same deduction rules — ADP · Workday · UKG · Dayforce · Paycom · SAP ECP — with results returned each period
7reasons for people not on payroll — COBRA, unpaid leave, retiree, survivor and more — billed directly with grace by rule
$7+per employee per month of premium leakage found in industry studies — an industry figure, not a BR result

Four Things That Change About the Close

Follow one month from the invoice to the ledger — the four controls Finance signs off, each linking to the module that runs it.

1

The invoice is matched before it is paid

Each carrier invoice line is matched to the election in Benefits Reimagined, the deduction payroll took, and the carrier’s own eligibility record. Matched lines are approved under your tolerance; exceptions — terminated but still billed, tier mismatch, duplicate, rate variance — carry an amount, an owner and a resolution method by source. The approver sees the net in Workflow, and the dispute goes out with the evidence.

Deductions post to every payroll and come back reconciled

Elections become deductions on the next run of whichever payroll the entity uses — SAP ECP for one entity, ADP or UKG for another — by wage type or deduction code on the same rules. Payroll results return so what was taken is reconciled against what was elected. Employer and employee shares are never blended, pre-tax and post-tax are separated by rule, and the same results feed the ACA engine’s hours and wages. Retirement contributions and the Flexible Spending Framework accounts ride the same rules.

Retros are computed per period, approved, and explained — not keyed

When an election is corrected, BR ReVerge — 360-degree Payroll — computes the retroactive difference for each affected pay period, routes the pay distribution for approval in Workflow, transmits only the locked run to each payroll under your caps and spreading rules, and generates the explanation the employee sees before the paycheck. Payroll never keys a catch-up by hand; Finance never guesses which periods it covers.

Off-payroll premiums billed; the ledger posted with variance explained

People not on payroll are billed by reason — COBRA, unpaid leave, retiree, survivor and more — with statements, grace computed from dates and payments, and terminations for non-payment reviewed by a person. The approved carrier amount posts by cost center and legal entity with disputed lines held; a closed period blocks posting. Essential Insights tiles show the variance by carrier and Ad-Hoc Reporting answers the rest.

Athena for the billing desk

Ask What You’re Paying For Before You Approve It

The billing workspace has Athena for Admins. It reads the period’s invoices, matches, deductions and postings, explains any line or any employee’s deduction in plain language, and drafts the dispute or the correction — a person approves it in Workflow. It never claims to have posted or transmitted anything.

  • “Why is this invoice $38k over the elections?” — the terminated employees still billed, by termination date, with the dispute drafted
  • “Do deductions tie to elections this period on every payroll?” — taken versus elected by lane and entity, with any variance named
  • “Explain this employee’s catch-up.” — the correction, the periods, the cap applied and the explanation the employee saw
  • “What did we recover this quarter?” — disputed, credited and accepted-as-is, by carrier

Before I approve September: does it tie on all three payrolls, and what is the $38k?
Athena · from the September matchDeductions tie: taken equals elected on the SAP ECP, ADP and UKG lanes across all three entities, zero variances. The $38,412 is 41 employees with terminations in Employee Central between May and August who are still on the carrier’s file — $71,900 across the periods since their termination dates. 38 were on 834 files the carrier acknowledged; 3 were keyed after the file cut and were never sent. The approval in Workflow is $4.17M with those 41 lines held.
